Self-Service Faculty Instructions for Attendance Tracking
The attendance tracker is only for classes on campus property.
Attendance Tracking/Contact Tracing for In-Person Classes
The college will utilize Colleague Self-Service in order to collect in-person student class attendance for COVID-19 tracking. This is new functionality that is being made available on August 17 and will allow for student contact data to be collected in a central repository in order to support contact tracing efforts. Student contacts outside of classroom dates should be reporting on the COVID-19 Student Service/Visitor form outlined later in this document (Contact Tracing for On-Campus Student Services.)
Colleague Self-Service Attendance Reporting can be accessed by visiting https://selfservice.cscc.edu and entering your Columbus State username and password. Click on the ‘Faculty’ Tab.
Select your section that you are leading and for which you are reporting attendance. Go to the ‘Attendance’ tab.
From here – you can enter your attendance details.
- Select the meeting date from the dropdown on the right.
- Next to the student’s name, you can select the appropriate response from the dropdown
(present, absent/no excuse, absent/excused, or late)
- There is also an ‘update all’ drop down that can be used to mark all records to present.
- Your changes are being saved automatically – there is no ‘submit’ button.
You will repeat this process for each in-person section you are assigned.
Contact Tracing for On-Campus Student Services
Although the college has transitioned student services to a virtual model, there may be select instances where an on-campus in-person engagement will be necessary. In those cases, services would need to be provided by a scheduled appointment (using college approved software such as MS Bookings, Outlook or Starfish) vs. walk-in service. In order to have a centralized database of contacts, a web form has been created to allow for student contact to be tracked.
This is a secure form that is available to front-line employees who will be meeting with students outside the classroom environment. Access to reporting is based on supervisor request and requests should be submitted to IT with the employee's username.
The reporting employee will need to log in using their Columbus State username/password.
If the Student's Cougar ID number is available, it should entered on the form (Note: an active employee cougar ID will not be valid for entry on this form.)
The student’s name and student email address will be pulled from Colleague and you will be prompted to enter the student’s phone number.
Once the phone number is entered, you will be prompted to enter the location information for the student visit. If there were to be more than one location, you can enter multiple locations by selecting ‘Add another Building/Floor’. If there is a location that is not available, you may select ‘other’ and enter additional information in the ‘Notes’ section.
Click ‘Submit’ and you have logged the tracing information.
Visitors without a Cougar ID can also be tracked by indicating ‘No’ for Does the Student Have a Cougar ID? question. The form will work the same way with regard to Building Information and location of the visit.
Visits should be tracked the same day, but there is a possibility of reporting a previous contact that may have occurred up to a week prior.
