Guidance on use of generative AI technologies

With the emergence of generative artificial intelligence (AI) technologies, many members of our college community are eager to explore their use in the college context.
This advisory provides guidance on how to use these technologies safely without putting institutional, personal, or proprietary information at risk. Additional guidance may be forthcoming as circumstances evolve.
Employees should reference policy 15-02, Information Security, on safeguarding information maintained by the college. Additionally, college policy 9-03, Purchasing, establishes signatory authority processes for contracts and agreements.
Allowable use
Publicly available information (i.e., course catalog, campus map, and information
posted on the college website) can be used freely in AI technologies. Public use data
has no access, encryption, or management restrictions.
Prohibited use (includes, but is not limited to)
In compliance with FERPA, no personal, confidential, proprietary, student records,
or otherwise sensitive information may be used in AI technologies.
AI technologies should not be used with materials that would be considered non-public. Examples include but are not limited to proprietary or unpublished research; legal analysis or advice; recruitment, personnel, or disciplinary decision-making; completion of academic work in a manner not allowed by the instructor; creation of non-public instructional materials; and grading.
